Farmersville Unified School District established the Absence Management System (Aesop) that has greatly simplified and streamlined the process of recording and managing absences and finding substitutes.
All employees are required to report all absences at least one hour prior to the start of their work schedule.
An absence exists when an employee is not physically present at their work site/station during their normal work schedule for any length of time and for any reason.The following are important procedures that will assist us in providing efficient and accurate service to our employees.- If you need to be absent from work for any reason, you must record the absence in Aesop. MOT and Food Service departments must notify their supervisor as well as input the absence into Aesop. All employees must report their absence even if you do not require a substitute.
For absences that require pre-approval, follow the same process as above. 24 to 48 hours advance notice is required for these absences!
- You may report your absence using the Aesop system online via the internet at www.frontlineeducation.com or by calling the toll free number at 1-800-942-3767. You will use your personal phone number with area code as your ID number and pin to access the system and report an absence.
- Certificated Employees: If you need to leave work during the workday for illness or an emergency, you must record the absence on a sign out sheet located in the office of the school you are assigned to. Upon return to their work site/station, employees are again required to record the absence on a sign in sheet.
Classified Employees: If you need to leave work during the workday for illness or an emergency, you must notify your supervisor before leaving your site AND record the absence on a sign out sheet located in the office of the school you are assigned to. Upon return to their work site/station, employees are again required to notify their supervisor AND record the absence on a sign in sheet.
District Office Staff: If you need to leave work during the workday for illness or an emergency, you must notify your supervisor before leaving your site, send a do_all email informing the staff that you will not be at your workstation AND record the absence on a sign out sheet located in the office. Upon return to their work site/station, employees are again required to notify their supervisor AND record the absence on a sign in sheet.
- You are responsible for reviewing your absences prior to the last day of the month to ensure that the information is correct in the system. Leaves will be deducted into the payroll system based on the information you input into the Aesop system.
Absences cannot be modified by the employee after they occur. If you need to make a change to your absence and it is after the absence has occurred, you must notify the Site Secretary (District Office Staff must notify Thelma Maldonado).
If you need to submit doctor’s notes, jury summons and other documents, you may send them to the Human Resource department, or they may be uploaded to Aesop. These notes must be submitted to HR the first day back to work.
- All requests for long-term or unpaid leave of absence (including family medical leave requests) must be pre-approved by the Board. Please notify the Human Resource Department with advance notice, prior to the leave.
